We are seeking a highly organised and proactive Administrator to join our team and make an essential contribution to the UK Hub for Quantum Enhanced Positioning, Navigation and Timing (QEPNT).
QEPNT is a £26m research hub funded through Phase III of the UK's National Quantum Technologies Programme (NQTP). The Hub will build up the UK community & ecosystem for quantum-enabled PNT by bringing together experts from academia, industry & Government agencies to deliver the technologies required for national security, critical national infrastructure, aerospace, connected & autonomous vehicles (CAVs), and maritime & energy applications.
The successful candidate will be responsible, in support of the QEPNT Hub Management Team, for proactively undertaking the day-to-day administration of the Hub to assist with the smooth delivery of the Hub's objectives. This will be a rewarding, varied and interesting role within a highly prestigious, multi-partner grant based in the James Watt School of Engineering.
Main Duties and Responsibilities
1. Provide high quality, varied and dedicated administrative support to the UK Hub for Quantum Enhanced Positioning, Navigation and Timing (QEPNT), supporting the PI, Hub Director, and Hub Management Team.
2. Proactive management of the diary of the QEPNT Director, exercising conservable discretion and knowledge of the QEPNT Hub to ensure internal and external appointments are well planned and time is managed effectively,
3. Facilitate, co-ordinate, and clerk a range of meetings, ensuring all necessary pre-meeting arrangements are in place, [e.g., booking of appropriate rooms; preparation and distribution of agenda and associated papers; post-meeting actions; completion of minutes etc.], as appropriate.
4. Support the Hub Manager in gathering information and data from across the Hub partners to facilitate accurate reporting of KPIs, outputs and impact.
5. Support the purchase of goods and services (non-claim related) via GU Internal Transaction hub.
6. Organise travel and relevant insurances, visas, etc. for the Hub Management Team, liaising as necessary with travel agents, internal colleagues, and external institutions/companies. Prepare comprehensive itineraries in advance of travel.
7. Actively support the QEPNT Marketing & Communications Manager with writing and posting content for the Hub social media channels, web site and other digital collateral, in alignment with the Hub's Communications Strategy.
8. Provide support to the Hub Management Team for the organisation of events, assisting with venue and catering bookings, booking travel for speakers, and assisting with the smooth delivery of events at the point of delivery.
9. Contribute to a culture of continuous improvement by suggesting service improvements and implementing new processes to enhance quality of service.
10. Engage in reasonable professional development activities as appropriate.
11. Undertake and other reasonable duties as required by the Hub Management Team.
Knowledge, Qualifications, Skills and Experience
Knowledge and Qualifications
Essential
A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge, skills, and experience in a similar role.
Scottish Credit and Qualification Framework Level 7 [Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate] or equivalent, and experience of personal development in a similar role.
A2 Excellent knowledge of Microsoft Packages (e.g., including Word, Excel, PowerPoint, Outlook, OneDrive and Teams).
Desirable:
B1 Knowledge and understanding of UK Higher Education, particularly pertaining to research.
B2 Knowledge of University financial systems and processes.

Experience
Essential:
E1 Experience of diary management for senior team members.
E2 Experience of clerking senior level meetings, and providing organisational support to external events, including conferences, public engagement activities, seminars, summer schools, or similar.
E3 Experience of supporting marketing & communications activities and contributing content for social media and the web.
E4 Experience in a relevant role (with qualifications or evidence of progression), and/or development gained from relevant work experience.
E5 Experience of applying judgement and following established policies and procedures.
Desirable:
F1 Previous experience of supporting/advising academic staff in a busy, research-intensive environment.
Terms and Conditions
Salary will be Grade 5, £26,338 - £30,805 per annum.
This post is full time (35 hours per week), and has funding available until 30 November 2029 in the first instance.
